Re-Triggering the Booking Assistant

Our Booking Assistant is re-triggered under specific conditions when load details change. Below are the scenarios that determine when the Booking Assistant will or will not be re-triggered.

When the Booking Assistant is Re-Triggered

 

1. Pickup Date Changes

If a load is updated with a new pickup date, the Booking Assistant will be re-triggered, and emails will be sent.

Example:

  • A load enters the system at 8:00 AM on 1/22 with a pickup date of 1/24 → Booking Assistant is triggered, and emails are sent.
  • The same load is updated at 9:00 AM on 1/22 with a new pickup date of 1/26 → Booking Assistant is re-triggered, and emails are sent.


2. Rate Changes

If a load’s rate changes, the Booking Assistant will be re-triggered, and carriers will be notified of the new rate.

Example:

  • A load enters at 8:00 AM on 1/22 with a pickup date of 1/24 and a rate of $1,000 → Booking Assistant is triggered, and emails are sent.
  • The same load is updated at 9:00 AM on 1/22 with a pickup date of 1/24 and a new rate of $1,100 → Booking Assistant is re-triggered, and carriers are notified with the new rate.


3. Active Load Not Booked (Next Day or Later)

If a load remains Active and unbooked, the Booking Assistant will run again to notify carriers.

Example:

  • A load enters as Active on 3/14 → Booking Assistant runs, and carriers are contacted.
  • The load remains unbooked and is still Active on 3/15 → Booking Assistant runs again to reach out to carriers.

4. Carrier Fall-Off (Same Day)

If a carrier originally booked a load but later falls off, the Booking Assistant will be re-triggered.

Example:

  • A load enters at 8:00 AM on 1/22 with a pickup date of 1/24 → Booking Assistant is triggered, and emails are sent.
  • A carrier books the load at 9:00 AM on 1/22.
  • At 4:00 PM on 1/22, the load status returns to Active (indicating the carrier fell off) → Booking Assistant is re-triggered, and emails are sent.


5. Carrier Fall-Off (Later Date)

If a carrier falls off a load the following day or later, and the load is archived, the Booking Assistant will be re-triggered when the load is updated.

Example:

  • A load enters at 8:00 AM on 1/22 with a pickup date of 1/24 → Booking Assistant is triggered, and emails are sent.
  • A carrier books the load at 9:00 AM on 1/22 but falls off at 10:00 AM on 1/22.
  • The load remains archived (inactive) until an update occurs at 4:00 PM on 1/23 → Booking Assistant is triggered again, and emails are sent.


6. Load is Archived and Then Reactivated

If a load was archived but later updated to Active, the Booking Assistant will be re-triggered.

Example:

  • A load is archived.
  • An update changes its status back to Active → Booking Assistant is re-triggered, and emails are sent.

When the Booking Assistant is NOT Re-Triggered

 

1. No Change to an Active Load on the Same Day

If a load is received with the same pickup date and no significant updates occur, the Booking Assistant will not re-trigger.

Example:

  • A load enters at 8:00 AM on 1/22 with a pickup date of 1/24 → Booking Assistant is triggered, and emails are sent.
  • The same load enters again at 9:00 AM on 1/22 with no changes → Booking Assistant is not re-triggered, and no emails are sent.

 

By understanding these scenarios, you can anticipate when the Booking Assistant will notify carriers and ensure smooth load management.
